Madison International Realty is a global real estate private equity firm managing approximately $8.5B of equity capital for institutional investors worldwide. The Executive Assistant will be employee number 2 and will report into the Head of Asia office and work on an assortment of duties to help maintain the office and assist in set up additional offices in the region.

Responsibilities for our Executive Assistant include but are not limited to:

  • Providing support for the Head of Asia to set up the office and ensure it is working in good order
  • Arranging conference calls/meetings and maintaining individual and departmental calendars.
  • Assisting with all related administrative tasks including but not limited to: calendar/diary management, correspondence, mail, answering/screening calls, filing, coordinating travel itineraries and accommodations including – booking hotels and transportation, as well as restaurant reservations etc.
  • Prepare and plan itineraries for international roadshows across the region for multiple members of the ECM team and coordinate with HQ on materials and presentations
  • Assist other relevant regional colleagues with their administrative needs, as needed
  • Preparing executive letters, spreadsheets and PowerPoint presentations as needed
  • Assist with special marketing calling campaign projects as well as organizing customized marketing mailings as directed by Head of office
  • Update content in presentations, profiles, Q&As, DDQ’s  and other marketing materials
  • Update and enter meetings and investor information to management by way of Salesforce data entry

The ideal candidate for this role will be an experienced  professional with:

  • A college degree is helpful but not required
  • A minimum of 1-2 years’ experience supporting an executive and working in a professional office environment
  • Experience at an investment/financial firm (private equity, investment banking, hedge fund, real estate investments, etc. or law firm)
  • Proficient in Microsoft products, including Word and Excel applications and electronic filing and CRM system such as Salesforce
  • Exceptional written and verbal communication skills
  • Excellent organization and time management skills
  • Ability to multitask and anticipate needs
  • Persistent, yet courteous and professional phone demeanor required for business development projects
  • Must be able to prioritize and handle confidential information with discretion
  • Highly developed interpersonal skills and professional appearance
  • Accuracy of work and attention to detail
